1. Who we are
Claryoo (“we”, “us”) runs claryoo.com, app.claryoo.com and the Claryoo meeting co-host. Claryoo is operated by Rohit Yadav, an individual based in Shillong, Meghalaya, India. This policy explains what information we collect, why, who we share it with and the choices you have. Questions or requests: hi@claryoo.com.
2. What Claryoo does
Claryoo joins your Zoom, Google Meet or Microsoft Teams meetings as a participant named “Claryoo”, either when you send it to a meeting link or when it joins from your connected calendar. While it is in a meeting it listens to the call audio and reads the meeting chat so it can run polls and quizzes, track questions, give you a live read on the room and, when the call ends, write up the outcome. It never speaks. In Zoom meetings it posts a notice in the chat as soon as it joins, saying that it is an AI co-host that transcribes the meeting; this notice is always on. It also posts one short hello when people arrive (on the Pro plan you can turn this off), plus anything you choose to launch.
3. Google user data
Sign in with Google. If you sign in with Google we receive your name, email address and profile picture. We use them only to create your account and sign you in.
Google Calendar (optional). If you connect Google Calendar, Claryoo asks for read-only access to your calendar (the calendar.events.readonly scope) and your email address. From your primary calendar, for events in the next 30 days, we read each event’s title, start and end time, organizer email, attendee email addresses and their RSVP status, and the video meeting link. We look at an event’s description and location only to find a Zoom, Google Meet or Teams link; we don’t store them.
We use this data only to show you your upcoming meetings in Claryoo and to send Claryoo to the meetings you choose. When Claryoo joins a meeting from your calendar, the event’s title becomes that meeting’s title in your Claryoo history. Claryoo never creates, changes or deletes anything in your Google Calendar.
Keeping and removing it. The calendar event details we sync are deleted no later than 7 days after each event starts. You can disconnect Google Calendar at any time from Integrations in Claryoo, which stops syncing and deletes our access tokens, and you can also remove Claryoo’s access at myaccount.google.com/permissions.
Limited Use. Claryoo’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:
- We use Google user data only to provide and improve the Claryoo features you use, described above.
- We do not sell Google user data, and we do not use it for advertising.
- We do not transfer it to others except as needed to provide those features (for example our hosting and AI processing providers, listed in section 6), for security, or to comply with the law.
- We do not use Google user data to develop, improve or train generalized AI or machine-learning models.
- No person at Claryoo reads it unless you ask us to (for example for support), it is needed for security, or the law requires it.
4. Other information we collect
Your account. Your name, email address and, if you add them, your workspace name, role and settings. You sign in with Google, Zoom or a one-time code we email you; we don’t use or store passwords.
Zoom. If you sign in with Zoom or connect Zoom in the Claryoo Zoom app, we receive your Zoom user ID, account ID, name and email, and your Zoom Access Key, which lets Claryoo join meetings that only allow signed-in Zoom users on your behalf. When Claryoo joins a Zoom meeting you sent it to, we also request a single-use token from Zoom that lets it join on your behalf while you’re in the meeting; we don’t store that token (Zoom scopes user:read:user, user:read:zak and user:read:token). Your Zoom tokens and Access Key are encrypted (AES-256-GCM) before we store them. The Claryoo app inside Zoom also reads the current meeting’s name, ID and join link.
Meetings Claryoo joins. Claryoo captures the meeting’s audio and turns it into a transcript as the meeting happens. Our meeting-bot provider keeps the audio recording for 7 days and then deletes it; we don’t store audio ourselves, and Claryoo doesn’t record video. From the meeting we keep: the transcript with each speaker’s display name; chat messages; participants’ display names, when they joined and left, how long they spoke, and whether their camera or screen share was on; poll votes and quiz answers; questions asked; links and contact details shared in the chat; and what Claryoo produces from all of this, such as summaries, the read on the room, decisions, action items and reports. We don’t collect participants’ email addresses from meetings.
Payments. Paid plans are sold through Dodo Payments (our merchant of record) or, in India, Razorpay. They collect your payment details on their own checkout pages. We receive and keep only your customer and subscription IDs, your plan and its status. We never see or store card numbers.
AI apps you connect. If you connect Claryoo to an AI assistant such as ChatGPT or Claude, that app can read your meeting reports, transcripts, questions, shared links, people and action items, and can update your action items, for as long as you keep it connected. You can disconnect it at any time in Settings → AI apps. We store only hashed versions of its access tokens.
Usage, devices and cookies. We use PostHog to understand how Claryoo is used and to fix errors, including recordings of how pages are used (session replays); in the app, all text and form inputs in these recordings are masked. On claryoo.com we also use Google Tag Manager and Microsoft Clarity, which likewise records how visitors use the site. We collect performance and error data to keep the service running. We use cookies and similar storage to keep you signed in, remember your preferences and run these analytics tools.
5. How we use information
- To run Claryoo: join your meetings, power live features, write your reports, and answer questions about your meetings.
- To sign you in, keep your account secure, and bill you for paid plans.
- To keep Claryoo working and make it better. We keep a record of the requests we send to AI models and their responses, which can include meeting content, so we can find and fix mistakes in Claryoo’s features.
- To send you service emails, such as sign-in codes and reports about meetings Claryoo couldn’t join.
- To comply with the law and enforce our Terms.
The AI model providers we use process meeting content only to return results to us. We have turned off their data retention and model training, so they don’t keep your meeting content or use it to train their models.
We don’t sell personal information and we don’t show ads.
6. Who we share it with
We share information only with the service providers that help us run Claryoo, and only what each needs for its job:
- Supabase: database, sign-in and scheduled jobs.
- Vercel: hosting for claryoo.com and the Claryoo app.
- Render: hosting for our live speech-to-text service.
- Recall.ai: the meeting bot, and the temporary audio recording (deleted after 7 days).
- Soniox: turning meeting audio into text.
- OpenRouter and the AI model providers it routes to, such as Google (Gemini): AI processing of meeting content to produce Claryoo’s features.
- Resend: sign-in codes and service emails.
- PostHog: product analytics, error tracking and masked session replay.
- SigNoz: performance monitoring.
- Google Tag Manager and Microsoft Clarity: website analytics on claryoo.com.
- Dodo Payments and Razorpay: payments.
We also share information when you ask us to (for example with an AI app you connect), when the law requires it, to protect people’s safety or our rights, or as part of a merger or sale of our business, in which case this policy continues to apply.
7. People in your meetings
When Claryoo is in a meeting it processes information about everyone in it on behalf of the person who brought it. If you bring Claryoo to a meeting, you’re responsible for telling the other people in it and getting any consent the law requires where you and they are. Claryoo’s notice in the chat (in Zoom, posted as soon as it joins) helps with this but doesn’t replace it. If you were in a meeting with Claryoo and want your information removed, contact the host or email us at hi@claryoo.com.
8. How long we keep it
- Your account and meeting data: for as long as your account is open, until you delete it or ask us to.
- Meeting audio recordings: deleted by our meeting-bot provider 7 days after the meeting.
- Synced Google Calendar event details: deleted no later than 7 days after each event starts.
- Zoom data: when you remove the Claryoo app from Zoom, we delete your Zoom tokens, Access Key and Zoom user and account IDs at once and sign the Zoom app out. Your Claryoo account and meetings, including transcripts and reports from Zoom meetings, stay until you delete them or ask us to.
- Access for AI apps you disconnect: cancelled at once and removed from our systems within 7 days.
To delete your account and its data, email hi@claryoo.com from your account’s email address. We’ll delete it within 30 days, except where the law requires us to keep something, such as payment records.
9. Security
Data is encrypted in transit, and our databases are encrypted at rest by our hosting providers. Access to your data is limited to the systems and people who need it to run Claryoo. No system is perfectly secure; if you think your account is at risk, email us right away.
10. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or limit how we use it, and to withdraw consent. Email hi@claryoo.com and we’ll respond within 30 days. You can also complain to your local data protection authority.
11. Where your data is processed
Claryoo and most of our providers are based in the United States, so your information is processed there. Where the law requires it, we rely on appropriate safeguards for these transfers.
12. Children
Claryoo isn’t meant for anyone under 16, and we don’t knowingly collect their information.
13. Changes to this policy
If we change this policy we’ll update the date at the top, and we’ll email you before any change that meaningfully affects how we use your information.
